Manchester city-centre workplace guide

How to plan office cleaning for a Manchester city-centre workplace

Before you compare quotes, get clear on the building, the working week and who is responsible for what.

A cleaning plan can look perfectly reasonable on paper and still fall apart at the door. The cleaner cannot get in, a meeting room is occupied or the communal kitchen turns out to be someone else’s responsibility.

This guide walks through the practical decisions that help office managers prepare a useful cleaning brief.

01 · Agree the boundaries

Start with the areas your business is responsible for

In a shared office building, your landlord or managing agent may arrange cleaning for the entrance, lifts and communal corridors. Your business may be responsible for its own office, kitchen and washrooms. Confirm the boundary before asking a contractor to price the work.

Walk the premises with your current task list. Mark each space as your responsibility, the building manager’s responsibility or something that still needs confirming. Include meeting rooms, shared kitchens and any facilities used by more than one tenant.

If responsibility is unclear, resolve it with the building manager. A cleaning quote cannot resolve a gap in the agreement between occupier and landlord.

02 · Map the working week

Plan around occupancy, not just opening hours

An office with a full team on Tuesdays and Thursdays may use its kitchens, meeting rooms and washrooms differently from one with steady attendance throughout the week. Share the pattern of use, rather than giving the contractor only your opening and closing times.

Note recurring meetings, evening events and visitor-heavy periods. Identify spaces that need to be ready before people arrive and rooms that are only available during particular windows.

Review the pattern when teams move, attendance changes or you introduce new client-facing activities. Cleaning arrangements should keep pace with how the building is used.

03 · Make entry and working arrangements clear

Check what happens before the first cleaning task

For a city-centre office, the practical brief should cover reception sign-in, keys or fobs, alarms, lift access and where equipment can be stored. If the building has delivery restrictions or a loading area, explain the arrangements that apply.

Agree who the cleaner contacts if entry is delayed or a room cannot be accessed. Record whether work should be rescheduled, moved to another area or referred to your contact for a decision.

Set out the approach to paperwork, personal belongings, restricted rooms and sensitive equipment. A clear-desk arrangement is only useful if your team and the cleaner understand what it means in practice.

04 · Build a room-by-room brief

Separate routine tasks from periodic work

“Clean the office” leaves plenty of room for different expectations. A more useful brief names the area, the task and the required frequency. It also identifies responsibilities for consumables and equipment.

For a kitchen, for example, specify the accessible surfaces, sink and floor tasks, then agree who handles washing up, appliances and the fridge. For a washroom, distinguish cleaning from the supply and replenishment of soap and paper products.

List periodic work separately, such as carpet cleaning, hard-floor maintenance or windows. Ask whether it is included in the regular price or quoted when scheduled. Explore supporting cleaning services.

05 · Decide how the service will be reviewed

Make feedback specific enough to act on

A useful complaint identifies the space, the task and what was missed. “The meeting-room table was not cleaned before Wednesday’s appointments” is easier to investigate than “the office never feels clean”.

Agree the main contact, how to report concerns and the route for recurring issues. Ask how unavailable rooms and other exceptions will be recorded so they do not disappear between visits.

Use review meetings to compare delivery against the specification. If occupancy or the task list has changed, agree an updated scope and any price changes.

Your office cleaning brief

Bring these eight things to the conversation

You do not need a lengthy tender document to start. A clear brief gives the contractor a better starting point and helps you compare quotations.

Make a fair comparison

Give each contractor the same information

When quotations cover different tasks or frequencies, the totals are difficult to compare. Ask providers to identify what they have included, any assumptions and how additional work would be agreed.

Your questions answered

Office cleaning planning questions

Who should specify cleaning in a shared office building?

Start with your lease or building-management arrangements to establish which areas your business is responsible for. Then define the tasks for those areas with your cleaning provider. Confirm shared-space responsibilities with the landlord or managing agent.

How often should our office be cleaned?

Base the discussion on occupancy, facilities, visitor traffic and the way each room is used. Different spaces may need different frequencies; a single rule for every office is unlikely to reflect your premises.

Should cleaning happen outside office hours?

Consider access, occupancy, noise and the time needed for each task. Agree suitable windows for your building rather than assuming every task can happen at the same time.

When should we review our cleaning specification?

Review it when layouts, working patterns or opening hours change, and when recurring concerns show that the current plan needs attention. Also agree routine service-review arrangements with the contractor.
